Everglow Studio ("we", "us") is a video production studio based in North Vancouver, British Columbia, Canada. We respect your privacy and handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This policy explains what we collect, why, how we protect it, and the choices you have.

What we collect

We only collect what you give us or what is needed to run the site:

Contact form — your name, email, phone (optional), business name (optional), budget range, and the project details you choose to share.
Live chat — if you open our chat widget, the messages you send and basic session details so we can reply.
EVERGLOW AI assistant — if you use our on-site AI assistant, the messages and project details you type, the answers you give, the recommendation it generates, and a session identifier, so we can respond and improve the assistant.
Technical data — standard server and security logs (such as IP address and browser type) that our hosting provider records to deliver and protect the site.

We do not run advertising, build marketing profiles, or sell your data. We do not knowingly collect information from children.

Manage our working relationship and any support requests
Keep the site secure and improve how it works
Meet legal or regulatory obligations

We rely on your consent — given when you submit the form, start a chat, or accept cookies — and on our legitimate interest in operating the studio. You can withdraw consent at any time (see Your rights).

Service providers we use

To run the studio we rely on a small set of trusted providers. Some process data on servers in the United States, which means your information may be stored or handled outside Canada. We share only what each tool needs:

Cloudflare — hosts and secures the website (technical/security logs).
Notion — stores contact-form submissions and AI assistant conversations so we can organize and follow up on your enquiry.
Anthropic (Claude) — generates the AI assistant's responses from the text you submit; processed on servers in the United States.
Google Workspace (Gmail) — emails a copy of your enquiry to the studio so we can reply.
Tawk.to — powers the optional live-chat widget.
Google Appointment Scheduling — runs the booking calendar if you choose to book a call.
YouTube (privacy-enhanced mode) — embeds our portfolio films when you press play.

How we protect your information

Encrypted connections (HTTPS/TLS) across the site
Reputable cloud services with their own security safeguards
Access to your information limited to the studio, on a need-to-know basis

How long we keep it

We keep personal information only as long as needed for the purpose it was collected — typically for the life of an enquiry or project and a reasonable period afterward for our records and legal obligations. When it is no longer needed, we delete or anonymise it.

Your rights

Under BC PIPA and PIPEDA you have the right to:

Ask what personal information we hold about you and request a copy
Ask us to correct, update, or delete your information
Withdraw your consent at any time (this may limit our ability to respond)
